Terms of Service

These Terms of Service ("Terms") govern your use of this website and your booking of accommodations from Ronin Stays ("we", "us", "our"). By accessing this site or making a reservation, you agree to these Terms.

1. Reservations and Bookings

A reservation is confirmed only after you complete the booking flow and we (or our payment processor) successfully charge the required amount. We may decline or cancel a reservation at our discretion, including for suspected fraud, misrepresentation, violation of these Terms, or unavailability of the property. Confirmed reservations are subject to the cancellation policy disclosed at the time of booking.

2. Payment, Fees, and Taxes

You agree to pay the total amount disclosed at checkout, including nightly rates, fees, deposits, and applicable taxes. Charges are processed by our payment provider; by providing payment information, you authorize us to charge the amount due. We may place a hold or pre-authorization on your payment method to cover incidentals or damage.

3. Cancellations and Refunds

The cancellation policy that applies to your reservation is the one shown at checkout and on your booking confirmation. Refunds, if any, are issued under that policy and may take several business days to appear on your statement, depending on your payment provider.

4. Guest Conduct and House Rules

By staying at one of our properties, you agree to:

  • Use the property solely for short-term lodging by the registered guests.
  • Comply with house rules, occupancy limits, and any community or HOA regulations.
  • Respect quiet hours and neighbors; no parties or events without prior written approval.
  • Refrain from illegal activity, smoking where prohibited, and any conduct that damages the property or disturbs others.

We may terminate a stay without refund and pursue costs and damages if these rules are violated.

5. Damage, Loss, and Liability

You are responsible for damage to the property or its contents caused during your stay, beyond ordinary wear and tear. We may charge your payment method for repair or replacement costs. To the maximum extent permitted by law, we are not liable for indirect, incidental, or consequential damages, and our total liability for any claim arising out of or relating to your stay or use of this site is limited to the amount you paid for the reservation in question.

6. Assumption of Risk

Use of pools, hot tubs, kitchens, outdoor areas, equipment, and surrounding amenities is at your own risk. You are responsible for the safety and supervision of any minors or guests in your party.

7. Intellectual Property

All content on this site — including text, images, logos, and design — is owned by or licensed to Ronin Stays or our service providers and is protected by intellectual property laws. You may not copy, modify, or redistribute it without our written permission.

8. Privacy

Our handling of personal information is described in our Privacy Policy. By using this site or making a booking, you acknowledge that policy.

9. Changes to These Terms

We may update these Terms from time to time. Material changes will take effect when posted; continued use of the site after that point constitutes acceptance of the updated Terms.

RONIN STAYS, LLC

TERMS AND CONDITIONS

These Terms and Conditions ("Terms") govern all reservations made with Ronin Stays, LLC ("Manager") for the short-term rental of the property booked by the guest ("Guest") for the stay dates selected at booking. By submitting a reservation, providing payment information, or checking in to the property, Guest agrees to be bound by these Terms in addition to the Rental Agreement executed between Guest and Manager.

1. Payment & Authorization

  • Guests are required to manually enter and upload a valid credit or debit card at the time of booking. Reservations are not confirmed until a valid card has been placed on file.

  • The card on file will be automatically charged in full no later than fourteen (14) days prior to the scheduled check-in date, unless full payment was already collected at the time of booking.

  • Ronin Stays uses SuiteOp to manage guest pre-check-in and identity verification, and Stripe to process all payments and authorization holds. Stripe is one of the most widely used payment processing platforms in the world, handling secure credit and debit card transactions for millions of businesses globally.

  • Guest authorizes Manager to charge the card on file for the reservation total, applicable taxes and fees, the damage waiver described in Section 3, and any additional charges arising from damages, excess cleaning, unauthorized guests/pets, or violations of the Rental Agreement or house rules.

  • Guest is responsible for ensuring the card on file remains valid and has sufficient available balance through the date of check-in. Charges made under this section are authorized transactions for services rendered, not unauthorized or fraudulent charges.

2. Cancellation Policy — Firm (14 Days Prior to Arrival)

This reservation is subject to a Firm cancellation policy. Guests may cancel free of charge up until fourteen (14) days prior to the scheduled check-in date.

  • Cancellations made 14 or more days prior to check-in: full refund of amounts paid, less any non-refundable fees disclosed at booking.

  • Cancellations made fewer than 14 days prior to check-in, but before check-in occurs: Guest will be charged a cancellation fee equal to fifty percent (50%) of the total reservation price. The remaining fifty percent (50%) will be refunded to Guest.

  • To be eligible for the 50% refund described above, the reservation must be actively cancelled by Guest prior to check-in. A failure to show up and a failure to affirmatively cancel the reservation are not treated as a cancellation and do not qualify for the 50% refund; the full reservation amount is non-refundable in that circumstance.

  • Once a Guest has checked in to the Property, no refund will be issued for shortening the stay, checking out early, or otherwise using fewer nights than reserved.

Cancellation requests must be submitted in writing through one of the following channels: the Guesty guest portal or the direct booking website, by email to team@roninstays.com, or through the platform on which the reservation was originally booked (e.g., Booking.com, Airbnb, Vrbo), if applicable. The date Manager receives the written cancellation request governs which portion of this policy applies.

3. Damage Waiver & Security Deposit

Guest is required to satisfy Manager's damage protection requirement through both of the following, as applicable to this reservation:

  • Damage Waiver: A one-time, non-refundable fee of $45 per reservation (not per guest). This waiver covers accidental damage to the Property up to $1,000. The damage waiver does not cover pet damage, theft, or additional/excess cleaning charges, all of which remain the Guest's responsibility under the Rental Agreement and may be charged separately.

  • Security Deposit: Rather than charging Guest's card, Manager places a $250 authorization hold on the card on file through Stripe. This is a hold, not a charge — funds are set aside by Guest's bank but are not withdrawn or paid to the Manager unless damage, excess cleaning, or a violation of the Rental Agreement is documented after check-out.

Stripe limits how long a single card authorization hold can remain active to six (6) days at a time. For stays that extend beyond that window, Stripe automatically places a new $250 hold before the first hold expires, in order to keep security deposit coverage continuous for the full length of the stay. The original hold is always released once the replacement hold is in place, so Guest will never be charged twice, even if damage is later found. Guest may briefly see two holds on their account at the same time during this overlap period; one will drop off shortly after. Depending on Guest's bank, it can take one (1) to five (5) business days for a released hold to be reflected on Guest's account or statement.

The applicable damage waiver and security deposit amounts for this specific reservation will be presented and disclosed to Guest prior to or at the time of booking and may vary based on the size and value of the Property. Manager reserves the right to charge the card on file for damages or violations that exceed the damage waiver coverage limit or the security deposit hold amount.

4. Chargebacks & Payment Disputes

Guest agrees that all charges made in accordance with these Terms and the Rental Agreement — including the reservation total, cancellation fees, damage waiver/security deposit, and any supplemental charges for damage or rule violations — are authorized and legitimate transactions for services and accommodations Guest agreed to receive.

In the event Guest disputes a charge with their bank, card issuer, or payment processor, Guest agrees to first contact Manager directly to attempt to resolve the concern before initiating a dispute or chargeback. Manager reserves the right to submit reservation records, correspondence, check-in/check-out data, and this signed agreement as evidence in response to any dispute, and to pursue any amounts owed, including collection costs and reasonable attorney's fees, if a chargeback is filed for a valid, authorized charge.

5. Relationship to the Rental Agreement

These Terms supplement and do not replace the Rental Agreement executed between Guest and Manager, which governs occupancy, house rules, guest conduct, liability, and damages. In the event of a direct conflict between these Terms and the Rental Agreement, the Rental Agreement shall control as to matters of occupancy and property use, and these Terms shall control as to matters of payment, cancellation, and deposits.

6. Acknowledgment

By completing this booking, submitting payment information, or checking in to the Property, Guest acknowledges having read, understood, and agreed to these Terms and Conditions in their entirety. Acceptance of these Terms occurs automatically upon booking and does not require a separate physical signature; a physical signature is required only on the Rental Agreement.
